QuickBooks Integration

Of all of the beverage management software providers in the industry, Intuit invited only Ekos to its Quickbooks Solution Provider Program.

As a QuickBooks exclusive partner, we can offer our customers free data migration from other accounting systems, such as Xero, Sage, and SAP. In addition, Intuit provides our customers with premium integration, migration, and technical support.

Ekos & QuickBooks:

The QuickBooks Online and Desktop integration with Ekos allows you to save time, reduce risk, increase transparency, and improve decision-making by creating automated accounting processes for your business.

No more spending time inputting information in two systems. No more basic reports that provide little business insights. With QuickBooks integrated with Ekos, data flows between the systems automatically. You’ll get insights into your operations, costs, compliance, taxes and more that you’ve never had before — all at your fingertips.

How It Works

Whether you are new to Ekos, already an Ekos customer wanting to connect your QuickBooks, or are an Ekos customer who’s ready to migrate from your existing accounting software to QuickBooks, we can help you through the integration process. As a QuickBooks Solution Provider, we can offer expert support directly from Intuit.

Once the integration setup is complete, you can determine which data you want to automatically sync from Ekos to QuickBooks. From there, Ekos goes to work, essentially doing the accounting for you.

Ekos can sync items like invoice and sales data, and credit memos to your QuickBooks Online or Desktop account daily within a few hours. That means your accountant or bookkeeper no longer adds that data manually after your sales team enters it into Ekos.

Beyond the Basics

Beverage production is complicated. So why are your reports basic? When your business management software connects with your accounting software, you can see the whole picture at the macro and micro levels. Here are just a few of the types of reporting you can access:

In addition to synching with the data you’re already entering into Ekos, real-time inventory costs accounting provides a transparent look into what it’s costing you to make each product so you can price your items appropriately and adjust quickly to maintain your margin goals.

Recipe Management

With Ekos connected to QuickBooks, you can tie specific recipes to sales performance, even at the batch level, seeing how it was made and how it sold across each vendor. This insight gives you the ability to understand your customers and the flexibility to adjust recipes and batches on the fly.

Taxes & Compliance

One of the biggest benefits of the QuickBooks Online and Desktop integration with Ekos is the ability to save time while filing your taxes. Custom reports in Ekos allow you to easily pull data needed for the TTB and other compliance requirements, giving you all the data you need to file taxes.

Always Evolving the Ekos – QuickBooks Integration

Ekos listens to our customers, learning every day what’s working and where we can help make things even better. Our primary goal is to make it easier for you to manage your day-to-day operations across all areas of your business. Just recently, we made multiple enhancements to our QuickBooks integration:

· Improved underlying architecture of the integration to significantly improve performance

Our larger clients went from 3-4 hours of processing to 7-8 minutes

· Improved data accuracy and enhanced error messaging to be more informative

Fewer support tickets, less confusion

· Reduced QuickBooks sync conflicts due to errors or incorrect data

80% reduction in sync events requiring user interaction

· Expanding documentation, knowledge base, and additional content to further empower clients to maximize the integration

Ekos integrates with QuickBooks Online and QuickBooks Desktop. For Online, the Essentials version is the minimum requirement. For Desktop, a version from 2012 or more recently is a minimum requirement.

We recommend setting up the integration after your team has completed onboarding with the Ekos customer success team. Once the QuickBooks integration is active, you have the option to sync inventory receipts, companies, invoices, credit memos, and journal entries in Ekos.

Reach out to our team to confirm the QuickBooks integration is included with your Ekos subscription. Once confirmed, our support team first needs to review your chart of accounts and will assist in the setup process, including providing recommendations for successful integration. Get more information about the setup in our Knowledge Base.

For Online users, the sync will occur every 4 to 6 hours. Manual syncs can be initiated as needed. For Desktop users, manual syncs will be made using the Ekos QuickBooks sync application.

The integration works by sending your transaction data in Ekos to QuickBooks. Always make changes in Ekos as it is imperative for the sync to work correctly. All changes to customers, vendors, invoices, credit memos, and inventory receipts should be made in Ekos and will be synced.
